Privacy Policy.
This policy explains what information Wizetrace collects, why we collect it, and the choices available to you.
Last updated: 16 October 2026
1. Who we are
Wizetrace ("Wizetrace," "we," "us," or "our") provides asset and device tracking tools - QR tagging, warranty, insurance, service, and pollution-certificate tracking, and a central dashboard - through our website, web portal, and mobile apps (together, the "Service").
For privacy questions, email support@wizetrace.com. Our office address is listed in Contact below.
2. What this covers
This Privacy Policy applies to wizetrace.com, the Wizetrace web portal (portal.wizetrace.com), our API, and our mobile apps when released (together, the "Service"). It does not govern third-party sites or services you may connect to or visit through the Service, such as your phone's camera roll or a link you follow in a notification email.
3. Information we collect
We collect the following categories of information:
- Account information: name, email address, and phone number (verified via a one-time passcode), plus an optional profile photo.
- Asset/device information: device name, brand, model, serial number, category, assigned location, photos, and generated QR codes.
- Documents you upload: purchase bills, warranty cards, service invoices, insurance policies, and pollution certificates, along with the structured data extracted from them (dates, amounts, vendor/provider details, policy or certificate numbers).
- Organization and family data: organization details, assigned roles and permissions, and family-plan member relationships.
- Subscription information: your plan, billing cycle, and trial status. We do not store full payment card numbers ourselves.
- Usage information: log data, IP address, device/browser type, and an activity log of actions taken on your account (used for account security and admin audit trails).
- Communications: messages you send us through the contact form or support email.
4. How we use information
We use the information above to:
- Create and authenticate your account via phone/OTP sign-in.
- Operate core features - adding devices, generating QR codes, and organizing assets by location and category.
- Prefill device records from documents you choose to upload (see AI & document processing below).
- Send expiry and renewal reminders for warranties, insurance policies, service/AMC schedules, and pollution certificates.
- Manage access within family plans and organizations according to the roles and permissions you configure.
- Respond to support requests and contact form submissions.
- Maintain the security, integrity, and reliability of the Service, including detecting abuse.
5. AI & document processing
When you upload a purchase bill, warranty card, service invoice, insurance policy, or pollution certificate, the document is sent to our AI extraction provider solely to read the document and return structured data (such as dates, amounts, and vendor details) that prefills the matching fields on your device record. You always review and can edit the extracted values before they're saved.
Documents processed this way are not used to train AI models. The original files you upload are stored in our secure cloud storage and remain accessible only to your account (and anyone you've shared the device with, per your family/organization settings) until you delete them.
7. Family & organization accounts
On a family plan, the plan owner can see devices added by members of their family group, consistent with how the plan is designed to work. Within an organization, administrators can grant or restrict access to devices, locations, and data through roles and permissions. If you're invited into someone else's family or organization, review what you're sharing before accepting.
8. Data retention
We retain your information for as long as your account is active and as needed to provide the Service. If you delete your account, we retain a minimal record for a limited period to prevent abuse and meet legal obligations, after which it is permanently removed. Devices and documents you delete are removed from active storage; backups are cycled out over time as part of normal operations.
9. Security
We use industry-standard safeguards to protect your information, including encryption in transit (HTTPS/TLS), one-time-passcode authentication rather than stored passwords, role-based access controls, and the security practices of our cloud infrastructure provider. No method of transmission or storage is 100% secure, and we encourage you to use a strong, unique passcode flow and keep your devices secure.
10. Your rights and choices
You can, at any time:
- Access and update your profile and device information directly within the portal.
- Delete individual devices, documents, or your entire account.
- Opt out of non-essential notification emails.
- Contact us at support@wizetrace.com to request a copy of your data or ask us to delete information we hold about you.
11. Children's privacy
The Service is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us and we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify you directly.
